Minutes and an action tracker from a broken meeting transcript

A garbled auto-transcript turned into one-page minutes, a dated action tracker and a draft email for approval.

A one-page set of minutes and a 13-item action tracker (5 updated, 8 new), with 4 actions flagged for Dana because their dates were missing or fell on a Sunday.

One-page leadership meeting minutes with the attendees, six decisions and a table of actions A-031 to A-043 showing owner, due date and status

As it arrived

It is Mon, Oct 12, 2026. The weekly leadership meeting ran 9:30–10:30 AM ET on Teams. My power went out at 9:40 AM, so I worked from the Teams auto-transcript, which had wrong speaker labels and misheard names.

Quick look

Deliverables

The details

Minutes on one page, decisions and actions only. Every action has one owner and an exact day and date. HR offer details stay with HR. All times ET. Nothing goes out until Dana approves.

Deadline: minutes and action tracker to Dana by Monday, Oct 12, 2:00 PM ET (9:00 PM Nairobi).

My approach

  1. Clean. Corrected the speakers (both “Speaker” lines were Priya; the 9:35 staffing line was Luis) and the names (TrailMart, Kevin Cho).
  2. Extract. Pulled out the final decisions only, the actions (who, what, when) and the confidential items.
  3. Reconcile. Gave actions A-031 to A-035 a new status and added new actions A-036 to A-043.
  4. Date. Turned “Friday”, “next week” and similar into a day and date, and flagged undated actions instead of guessing.
  5. Communicate. Wrote the one-page minutes, a draft email for Dana, the Monday, Oct 19 agenda and three questions for Dana.

The hardest call: the temp-staffing decision changed late, from 25 to 20 after Tom’s Q3 cash point, and three speaker labels in the transcript were wrong.

What I delivered

  • Action tracker: all actions A-031 to A-043 with owner, exact due date, status and flags for Dana.
  • Minutes: one page of decisions and actions.
  • Follow-up email: a draft for Dana, not to be sent until approved.
  • Next agenda: the draft agenda for Monday, Oct 19.
  • Questions for Dana: the items I could not settle myself.

What I’d do with more time

Keep backup power for live notes so I’m not relying on the auto-transcript.
